Administrative Assistant

Position Overview The Administrative Assistant II contributes to ecoATM’s success by providing general administrative support to multiple departments.

Key Responsibilities:

  • Support executive management and partner with Executive Assistant as needed
  • Generate, interpret, and edits report, correspondence, spreadsheets, and schedules
  • Formulate procedures for systematic retention, protection, retrieval, transfer, and disposal of various records
  • Provide general office management and support a fast-paced and growing company
  • Compile and sort documents, such as invoices and purchase orders, substantiating business transactions
  • Support multiple department heads in various administrative tasks – coordinate travel, expenses, budgets & forecasts; handle incoming & outgoing mail & FedEx shipments; manage meeting schedules; plan meetings & assist in departmental and company events
  • Provide front door supervision for guests and assist Human Resources with greeting candidates
  • Facilitate communication between ecoATM and Outerwall
  • Assist Facilities with office & break room supply orders
  • Miscellaneous duties as required

Education & Experience:

  • High school diploma or equivalent and/ or least 3 years of equivalent experience, and some college preferred
  • 2+ years Administrative experience and knowledge of policy and business practices
  • Accounting experience a plus
  • SAP knowledge a plus
  • 2+ years of experience and proficiency in MS Outlook, Word, PowerPoint, and Excel

  • Ability to work in a fast-paced environment, with strong multi-tasking and time management skills
  • Ability to maintain absolute confidentiality when working on projects confidential in nature
